Reusing correspondence documents

Printing a correspondence document

If a correspondence document is created, it can be opened, viewed and printed at any time with a click on the Subject.

You can send emails after creating them in an email program or directly from the system. To print them, proceed like with printing correspondences.

Regenerating (overwriting) already created correspondences

You cannot Edit correspondences that have the status Sent, but you can Generate and Print them.

You can create an existing correspondence again and replace the "old" correspondence document using the function Create. You can use this function in particular when you change the number of recipients or replace them.

Note: The correspondence must not have been sent yet. Make sure to use the button Refresh envelope window while changing the Recipient list. See also  Error check and address preview.
If the message "You have launched the client without usage of a suitable and registered application set. Hence, no automatic check in of documents, templates and correspondences is possible!" should appear while you are editing the correspondence document (in the word processor), no client set was used during the start of the client, but the credentials were overwritten manually.
If you do not check in the correspondence file, you "reject" it, and it is lost. You can save the file locally if required and import it later.

Reusing by copying

Existing correspondences can be reused using the standard functions Copy and Copy with structure, just like any other record. Make sure to always adjust the Subject or the comment according to its use.

Copy

A copy of the correspondence is created, attachments and recipients are not specified.

Copy with structure

A copy of the correspondence is created, attachments and recipients are imported from the source correspondence.
