Contacts

Relations between contacts and other sales-relevant objects

The Contacts module gives you a comprehensive and complete overview of all types of contacts and organizational units for managing your company contacts centrally, which is important for your sales activities.

External contacts can be managed centrally as well. For every company, several contacts can be registered. The person management contains information which concerns, on the one hand, the person directly, for example business and private address data, and, on the other hand, the assignment to a company or department. The module offers interfaces to Microsoft Word for creating general documents and all types of correspondences. Through the integrated interface to Groupware, you also have the possibility to match all address data, e.g. with MS Outlook.

For all contacts, their relation with cases is indicated, just like the relation of cases with contacts is. Contacts can be associated not only with cases, but also with properties, documents, products and services as well as further contact-relevant information that is managed in other modules.

You can assign activities to every contact. These activities appear in your personal portal, and you can qualify the contact correspondingly. You can quickly prepare contact conversations, standard letters, calls and faxes at the contacts themselves or at the contact persons. For every contact, any properties can be taken down in the form of notes.

§ GDPR: When registering new persons, you must observe the GDPR and privacy! See GDPR-compliant registration of persons.

No mandatory information obligation for existing customers

If data was already collected before May 25, 2018 (existing customers, marketing database, etc.), then it is not necessary to inform the persons concerned about the processing operations by means of "standard information on data protection according to the GDPR" as of this cut-off date. The German Association for Data Protection and Data Security (GDD) points out that the “GDPR does not provide for any blanket stock information from 25 May 2018, i.e. no 'transparency reset’”.

Only if new data is collected from 25 May 2018, must the data subject be comprehensively informed in accordance with Section 13 (for direct data collection) or Section 14 (for indirect data collection) (source: dataprotect.at).
