When creating mass mailings in the form of serial letters, extensive correspondence documents that make up several megabytes in the database may be produced. However, if only one dummy file is stored instead of hundreds of serial letters of a marketing offensive in order to save the text as a sample (all recipients are shown in the recipient list in the form), you've saved database resources.
Sample correspondences are created automatically without any prompt in the serial letter if its template uses the single report output (the Series option in the template field is active). This applies when using the Generate, Edit and Generate and print functions.
You are only prompted whether a sample correspondence should be created after it has been checked in if the template used does not use the single report output option (Series in the inactive template field).
- If you click No when prompted "Check in sample correspondence with only one recipient", the serial letter is opened in the word processor for saving it in full in the database as you close it.
- For a complete serial letter, please confirm that the document should be checked in to the database.
- With a sample correspondence and Yes, you can close the serial letter without being prompted, as it is already stored as an individual text template.
