Error check and address preview

The system automatically checks the conventions already when entering a contact’s email address.

  • Don’t permit missing @ (the hyperlink checks this as well),
  • don’t permit double @ (@@),
  • don’t permit space characters,
  • don’t permit an underline after the @ (international RFC standard).

Umlauts are permitted because various systems accept them.

Admin: By means of the variable PSA_CON_CHK_EMA, your administrator can specify whether this check should take place automatically.

JustRelate CRM can check whether the specified recipients follow the conventions for sending a corre­spondence via emails (also serial emails in marketing) and letters. Here you can also determine which recipi­ents have an email lock or an empty address field. For serial emails, the system additionally checks if the templates in the required languages of the various recipients exist. A warning is displayed if this is not the case. If you ignore the warning and send the corre­spondence anyway, the default template is used.

Note: If an assigned contact has a mail lock, then please check if you can remove it. If this is not possible, there is no other way to have the email sent than to remove the contact from the recipient list.

  1. Open a correspondence in which recipients have been created already.
  2. Click Error check in the function bar.
  3. An error message or a notification in the message bar informs you about missing address data, or whether the recipient has an email lock.
  4. If a contact has no or a wrong letterhead, this needs to be corrected in the respective contact form. Afterwards, the corrected information must be updated in the letter. Mark the con­tacts concerned in the Recipients subform and click the Refresh view button.
  5. With emails, you will be informed in the message bar if the mail address is missing, if it does not correspond to the conventions, or if an email lock exists. After correcting the contact’s mail address, it is not automatically used in the email. Please be sure to perform step 7.
  6. Correct the corresponding addresses or the salutation in emails by opening the contact directly from the recipient list and specifying them. Then store the contact record.
  7. Change to the email, select the contact(s) from the recipient list (for emails, use the small gray arrow in the field To Cc, Bcc) and click the Refresh email or Refresh form of address button. Note that the entries you created manually in these lists may be lost in the process of updating!
  8. Proceed as described in Emails as activities.

Note: In the dialog that opens by clicking the little gray arrow, you can select several email addresses in the E-mail field if, for example, the recipient has a second email address.

Address preview

For the Outgoing letter dispatch type as well as serial letters (several recipients), there is no Error check in the function bar but the Address preview. This function generates a report showing the enve­lope entries. It allows you to check whether the addresses are complete or not.
