Private emails are used for quick communication between colleagues who do not use an external e-mail program for this.
Private emails in the mailbox
Replying to private emails
You can mark emails as "private" already in the JustRelate CRM inbox, which immediately aktivates private access protection, and all further email functions adopt the "private" attribute.
- For private replies the private flag is set immediately during the automatic import of the source email, and thus such an incoming email can only be seen by the person importing it.
- The private flag is present in the inbox, outbox (as a lock icon in the detail form) and in the email form (checkbox next to the status). It works like a toggle, whose initial state corresponds to the private flag of the email in Exchange.
- If you set the private flag (ON = dark), the source email is imported privately. When replying and forwarding, the attribute is adopted.
Handling new emails as private
New emails can be treated as private by setting the corresponding option ("Private" checkbox to the right of the status).
- All replies or forwards can be edited as usual in the CRM and also have all additional functions available (templates, signatures, etc.) in addition to access protection.
- The write access mode set for the owner also applies to the sender and recipient, as CRM users can also use private emails for communication.
- The private flag is also available on the touch clients and in the email plugin (Private switch).
Note: Such emails are also stored in the database (only visible to the importer) and are also included in the activity table. You should therefore delete private emails immediately or regularly after a certain period of time.
