Functions for follow-up processes

Via Context functions, accessible by clicking the right mouse key, you can set statuses and create follow-up processes for individual or multiple selected emails. With context functions for marked emails (e.g. Message), consider that the emails may have to be imported first, which is done automatically.

Import

Via the context menu and Import, cases or service notifications can be created from a correspondence via the E-Mail-Connector which will be opened automatically. In the dialog of the E-Mail-Connector you can, for instance, deselect attachments (documents, images) or create other assignments.

Assigning the main project

Thic can be done via the context menu for several selected emails.

In the correspondence list, the Main Project column is hidden by default. You can unhide the col­umn if required, sort it by the assigned main project, and therby easily identify related correspon­dence or emails without any assignment.

Follow-up

For an individual email or several marked ones, you can create tasks, appointments, phone calls as follow-up activ­ities via the context menu. The content of the respective modal activity form is reduced, so that information from the mailbox can be captured quickly.

In a follow-up appointment from an email, the email body, recipient and sender are transferred. The notes receive a separator, as with forwarding or replying. In the case of a "Follow-up" (like in the con­text menu of the mailbox), the email body is only transferred to the appointment if the function is executed for an individual email (single select).

Delete

Emails are irreversibly deleted from the mailbox. There is no recycle bin!

If needed, when deleting several marked or individual correspondences from the mailbox, the warning can be prevented regardless of the origin of the correspondence (imported or not imported from Outlook, available in the CRM, etc.). In the corresponding message dialog, check the Suppress all deletion queries in the mailbox checkbox for this.

Attention

Attention: In the PSA_MBX_ASK_DEL_OFF mailbox variable (default = n), the set status is stored on a per-user basis. If suppression is activated, you will never again receive a confirmation prompt when deleting. You can unset this status under My data/Settings/...Variable.

Delegating correspondences

Correspondence can be delegated, e.g., to instruct other people to check or edit an email text before it is sent, but not to send it.

Attention

Attention: Delegating does not replace the sender. Even if you can change the responsibility (extended) for a correspondence, it is not delegated in the CRM as the sender remains the original one. As a consequence, correspondence in which, for example, you are entered as the person responsible, is not listed in your mailbox. It makes sense to give the person responsible the task to process the corre­spondence and send it on their behalf.

  • In the Mail, Letter/Fax and email series forms, the Responsible... field is displayed in the Extended area.
  • The new responsible person will receive a message and, if necessary, write permission after checking back.
  • Escalation, deletion and status change are forwarded via a message to the delegating person using the monitoring flag.
Attention

Attention: There is no “Delegated” status. This means that there is no acceptance or rejection. After comple­tion, delegating back to the delegating person or informing them is obligatory.
