Mailbox as IMAP client for incoming mail

The CRM mailbox can also retrieve emails via IMAP. This is an alternative to retrieving emails via the groupware connector interfaces supported by JustRelate CRM (EWS API for MS Exchange and Google API).

  • To provide the CRM mailbox for employees of sales partners or subsidiary companies that do not use MS Exchange or Google Mail, but other mail servers that support IMAP.
  • For the more performant retrieval of emails than via the Groupware Connector interfaces.
  • For mixed scenarios, such as email retrieval from a Google account via IMAP and appointment synchronization via the MS Exchange connector.

Enhancements for the alternative IMAP connection

Note: An internal employee cannot have multiple groupware configurations.

  • If the variable PSA_RCV_EMA_USE_IMA is set to y for the WORLD or selected users, emails are received via IMAP instead of using the groupware APIs for this purpose. The variable is comparable to PSA_SND_EMA_USE_GWC.
  • The groupware user management (Administration/Contacts/Groupware Users) has the "IMAP Server" and "IMAP Port" columns for user-specific maintenance of the IMAP server settings that can be specified administratively (Administration/Administrator toolbox/Global email configuration) or maintained by the internal employee in the server groupware configuration dialog (My data/Server groupware, SMTP/IMAP tab).
  • The columns for POP3 are hidden. They were used in the past for SMTP authentications, which are no longer up to date.

Logging in to the IMAP server

To log in to the IMAP server, "user" and "password" from the groupware user management are used. The system assumes that IMAP and SMTP use the same credentials, which are thus different from those required by the Groupware Connector. These are stored in "Groupware user" and "Groupware password". This means that, for example, completely different accounts can be accessed for email synchronization (IMAP, SMTP) and appointment synchronization (via the Connector).

Attention

Attention: If emails are only retrieved via IMAP (other mail servers), then no appointment synchronization or appointment functionality is available for invitations.
It is recommended to use IMAP only for receiving emails if required, and to configure everything else (appointments etc.) via the Exchange or Google interface.
