Use template (in the “Template” field)

The contents of the editor window is generated using the selected template, and can be edited further. Existing text must be deleted because the selected template usually replaces it.

Send directly

The existing mail is sent directly through the system to the recipients, or it is internally generated and sent.

Note: When you first use this function, the system asks for your email settings for the POP and SMTP servers, as well as the user and password. Please enter all the required pieces of information. Should the information change, please open your own staff member form through the Sales / Back office / My data menu, and click the Configuration / E-mail function in the function bar to update the settings.

Generate in the email program

The existing mail is opened in the local email program, where it can be edited and sent. The interface to JustRelate CRM assures that the mail is checked in to the CRM, and that its Status is set to Sent.

Reply

A new correspondence with the same subject as the source email is created as a reply, adopting all important attributes such as the sender as the new recipient, and the case assignment of the source email.

Reply all

A new correspondence with the same subject as the source email is generated as a reply, adopting the sender and all recipients of the source email as recipients of the reply, as well as the case assignment of the source email.

Forward

A new correspondence with the same subject as the source email is generated as a forward whose recipient list can be adapted as needed.

Admin: Your administrator or customizer can adapt the behavior of emails for replying and forwarding through variables.

Send again

An email that has already been sent is opened once again and set to an open status. A copy of the mail is generated that can be adjusted and sent again.

Tip: If an email is to be sent again starts with a table (neither text nor a line break above it), position the cursor at the beginning of the text in the first cell of the first table row. Pressing Enter then inserts a new line immediately before the table and positions the cursor there.

In other cells, pressing Enter inserts a normal line break into the cell or text, depending on the cursor’s position.

Error check

The system tests whether all recipients have been specified as required for dispatch. In this process, the sending of the emails is simulated, and information about errors is provided in the CRM message bar. This is for determining whether contacts have an email lock, among other things. With serial emails, the system additionally checks if the templates in the languages needed for the various recip­ients exist. A warning is displayed if there are issues. If you ignore the warning and send anyway, the default template is used. This function also offers to open the text to be sent in a preview. See also  Error check and address preview

Transfer to ad hoc list

This function opens a wizard by means of which you can select the ad hoc list as the destination, and the contact fields (sender, responsible, for contact, to, cc or bcc) whose data is to be passed to this ad list, in order to create a list of all email recipients.
