Delegating activities onwards and backwards

Activities and their monitoring can be transferred to other responsible persons, who then monitor the further processing of the activity on behalf of the delegator. This means that the initial delegator is no longer the supervisor.

On the Additional data tab of activities there is next to the field of the delegating person (Delegated … from …) a function (button) by means of which the delegating person can be removed. This ensures that an authorized person can empty this field so that an agent can further delegate on behalf.

This function can be executed only, if

  • the activity is delegated,
  • the user is the delegating person, or
  • the user is a PiSA cubes- or a JustRelate CRM administrator.

Otherwise, a corresponding message is issued. The function resets the following fields to their default value:

  • Monitoring,
  • Delegated on,
  • Delegated from,
  • Status, if it is still “delegated”.

If the Delegated … from … field is empty then, when the activity is delegated again, the delegating person is placed into this field, and the flag for monitoring is also set for this person. The contents of the Delegated … from … field will then no longer be changed when delegating the activity further. It is now the task of the person who has subdelegated the activity to monitor it.

How to delegate backwards

The selection options under Responsible... also contain the delegating person and the last agent, if these do not correspond to the person responsible, in addition to the standard default assignments (project contacts). This allows an employee to easily delegate an activity back to these persons. The “delegated” status is set independently of the delegator.

Note: If an activity has been delegated several times, only the delegating person and the last agent are shown in the selection next to the project contacts. In the activity itself, a note with a time stamp should of course always make the delegation recognizable.
