Creating and and testing a letter

  1. With JustRelate CRM, create a letter with only one recipient for testing purposes. See Creating a letter or fax.
  2. Save the letter and select Create.

Now, Word generates the letter in the background and fills in the mail merge fields with data from the CRM, for example:

  • <RECIPIENT_ADDRESS> = data from the envelope window of the recipient,
  • <RECIPIENT_FORM_OF_ADDRESS> = data from the Form of address of the recipient
  • <AUTHOR_SIGNATURE> = data from the Signature field of the internal contact
  • <AUTHOR_HEADER> = data from the Sender in the header of the internal contact

You can Edit the CRM mail merge letter template in order to adapt it. You can add fur­ther fields and change the layout as needed.

Attention

Attention: If you use such mail merge letter templates created with Word in marketing projects (telemarketing with hundreds of recipients, etc.), a larger number of letters can only be printed by means of the Create and print function. When generating them as reports, Word will open an individual instance for each of them, which should of course be avoided. As a default, the CRM allows a maximum of ten Word instances to be open at the same time.

Important: JustRelate CRM and Word can only use the data that has been provided. The more carefully this has been done, the fewer mistakes will show up in the fields of the mail merge letter.

Use the Create function to check a couple of letters for correctness and consistency prior to selecting Create and print to have all of them generated and printed.
