Creating a mail merge letter template

If you are using the included master template, please first check whether the settings are correct.

Note: If you are using a Windward template as a mail merge template for MS Word, all fields must be redefined. The loader for the Word mail merge letter does not support the Windward fields.

  1. Create a new record in the CRM template management.
  2. Assign a speaking name so that it can be found in the template field of a letter.
  3. Assign a unique ID and specify the Language.
  4. As the output format, choose the DOCX format for Microsoft Word.
  5. In the field For object, choose Letter.
  6. As the tool, specify WRD_SER > Word mail merge.
  7. The Comments field is for informing other users about the purpose of the template.
  8. Set the checkmark in the Single report field as needed.

As an example, for label printing, you can either address individual recipients or generate a large document that has one section per recipient.

Loader object

A loader object defines how the data from several sources are put together and passed to the reporting tool used. Usually, an XML file is used for this. However, since the mail merge function of Word cannot handle such files, a Microsoft Word mail merge data source is generated (as a simple table). The data item names are automatically created from the loader’s classes and field filters.

With JustRelate CRM, a corresponding loader object already exists.

  1. Select PSA_RPT_CPD_LET_WRD_SER as the loader object for a mail merge letter.
  2. Save the created template.

Layout file

Now, a layout file is needed. It fully determines the appearance of the letter. You can use an existing Word mail merge letter, load a standard mail merge template from Office.com, or even create a Word mail merge letter in Word. This can be done quite easily with, for example, Word via its mail merge assistant with step-by-step instructions if you already have a source file. You can also use Outlook contacts as the source.

The mail merge letter is best stored locally.

  1. Select the Check in function for the CRM template to assign the local mail merge letter to it.
