Changes to the series definition

Changes to the series definition (e.g. moving or deleting created activities) always affect the entire series, e.g.:

  • The start date of the series definition (dialog) contains the date of the activity generated last. This allows moving an already created activity (changing the date of the activity), and the next activity in the series will be generated in the correct interval. In addition, a created series can be moved by changing it time window.
  • If the next activity is only created after an activity is completed, and only the initial activity exists, then the start of the activity is changed when the series start is changed.
  • If activities are to be deleted due to a series change (for example, the series duration or interval is reduced), then only open activities are affected. If you don’t delete the activities (after the prompt), only the reference to the series is deleted.
  • If all activities have already been created, a change to the series definition causes the system to attempt to adjust the start date of open activities accordingly.

Assigned attendees in appointment series

If an appointment with participants is converted into an appointment series after being saved, all participants, non-person resources, and the distribution list are assigned to the next appointments in the series in addition to the main participant, and the relationship data (email, position, and role) is also copied.

The notes in the resources and the distribution list as well as the flags will be not copied. This makes it substantially easier to manage and maintain regular meetings with several attendees.

Private flag

The private flag is also applied to the subsequent appointments of an appointment series. When dele­gating an appointment marked as "private", a series of appointments can be created from it, and the pri­vate flag is applied to the subsequent appointments of the series.

Tip: This is a quick way, for example, for a scheduler in the office to create time slots of other employees as a series of appointments and thus block them so that they are ignored as a resource in a certain period and are skipped during appointment specification.

Teams meetings as series of appointments

If the Create meeting in MS Teams flag turned on, the series appointments are always given a new URL when created by the series feature, and the participation link (HTML construct) is inserted as the first line in the notes field.

Note: The checkbox appears only if the user has the Office 365 profile (PSA_OFF_365).

Empty note field

  • OFF: Users work as before. You can transfer, e.g., a general agenda on creation of the series (with immediate creation of all appointments of the series), or logs of previous appointments can be trans­ferred (on creation after completion of the last appointment).
  • ON: with each new appointment of the series, the report is deleted, and an empty note field is pro­vided.

Query for open appointment series

Query after appointment change if the series has already been created.

Use case: All activities of a series (e.g., appointments) have already been created. Now, attributes such as subject, responsible person, time, attendee, location are to be changed afterwards.

If an activity that creates all activities immediately is now edited, you will be prompted whether all open activ­ities of the series should be deleted and created again.

Admin: The system only reacts to changes made to a set of basic fields. The fields can be defined in the variable PSA_ACT_SER_CRE_MOD_FLD which defaults to
NAM,LOC,CTT,BEG_DAT,END_DAT,RMD_FLG,RMD_TIM_IDN.
