Email attachments are automatically archived in the system. You can classify the documents in the connector and assign a document type to them. Deactivate the Selection checkbox (also completely using the right mouse button) if you do not want to archive attachments. The system automatically deselects attachments that are too large.

Note: The system automatically deactivates attachments that are too large. The administrator can set the size limit in kilobytes via the user-specific variable PSA_CPD_DOC_MAX_SIZ. If the attachment size exceeds the value of this variable, then the selection flag for the document is disabled automatically. If necessary, you can set the flag manually.

When checking in an email, the system identifies the attachments as "attached" or "embedded" and only lists the "real" (attached) attachments in the email connector's list of attachments.
Embedded images are not stored as a document, but as a BLOB. This means that in the CRM you only see the "real" attachments in the attachment field of the e-mail, as is the case with MS Outlook, for example. This feature also avoids unnecessary duplicate queries.
Storage template and Save as
You can select processes, contacts and products individually to assign the email in question to them.
Selecting a storage template (Template field with selection menu) helps you to assign the email in question to predefined processes, contacts or products. In Back office/My data/Additional data/Storage templates, you can define several such templates that you can use in the Email Connector. They make it possible to assign emails to the processes, contacts and products defined in the template. The template that receives the Default flag will always be automatically pre-assigned as the default storage template in the Email Connector.
Note that individually assigned cases, contacts and products are overwritten if you select a different storage template. For this reason, you should always make the assignment in the following order:
- Select a storage template
- Define additional assignments

In the case selection dialog, the active cases of the external contacts of the email are automatically offered. You can add the inactive processes for the external contact to the preallocation by deactivating the Active button in the selection dialog.
Generating a service call
This command is only available if the service license is active. It generates a new service call from the data in the e-mail and presents it to you for further processing. The following data is transferred from the e-mail to the service message:
- email subject → keyword
- email body → information
- email sender → forwarded by
- sent on → created on
- attachments → documents
The Customer is automatically determined from the company assignment of the sender. The email is saved as a correspondence activity in the CRM and is automatically assigned to the service call.
