When assigning case-specific items (articles) and commodities, you capture all items of the scope of supply for the corresponding sales case. It is necessary for the technical specification of the scope of supply to capture the product information for all items from the product database in text modules, or to include item-specific information as text modules. When creating a technical specification for a quote or order, all information from the text modules is transferred to the technical specification.
Text modules for items
Standard text module template of an item
When capturing neutral products in the product catalog or case-specific products in a sales case, a standard template for generating text modules is automatically provided for every record. It contains all attributes or variables from the product database. With neutral items, the standard template can be replaced with a different one if there are firther text module templates in the database (the Template button is only present in the administrator form).
A standard text module template is created when product or service classes are created in the product catalog. It is then available for all variants of the product class. These text module templates are usually edited for individual items and can be used only for the particular item concerned. All item-specific text module templates that were created like this are stored in the template management. The text module templates of items can be found in the Additional data subform. From there, they can be edited, copied in several languages and opened in the template management.

Creating or deleting text modules
All items should have a text module template which should not be a standard text module template but a text module template specifically for items based on the standard text module template.
- Under the condition that the items have text module templates with variables, it is sufficient to select in the quote or order the Documentation / Technical Specification / Text module function from the function bar. It globally generates the text modules of the respective languages for all items. If text modules already exist, they must first be Deleted.
- To create text modules for individual delivery positions, they must be opened in the product management. For every product record, the functions for creating text modules are available in the function bar. Here you can generate the text modules for the current position or generate everything at once for the complete structure of the position (Text module / Create all).
- With sales records, you can find next to the function for generating text modules also Delete Text modules. In case everything is recalculated after selecting or deselecting an item, the text modules must be globally deleted from the case and generated again afterwards.
Creating multi-language text modules
JustRelate CRM can create multi-language quotes based on the text module templates available for a neutral item. These templates can be defined in any language and are subject to version and a status management. They can be copied in several languages and be used according to the communication language that is used. Thus, it is possible to distinguish, e.g. in a quote, between "customer language" and "transaction language". In addition, so-called "16-bit languages", like Chinese, are supported.
JustRelate CRM supports two languages for generating quotes (e.g., quote language and customer language). For this, two text module fields (tabs) are available with neutral products. The corresponding products are connected to text module templates as well.- To generate multi-language text modules, copy in the item’s Additional data an available text module template to a second language. You can only select a language for which no template exists so far.
- The second text module template must be revised (translated) in the template management according to the selected language.
- Select the second language in the sales case concerned (quote, order...) via the Language field.
If you now create text modules again for the item or the quote, text module 1 is created in language 1 and text module 2 in language 2.
Text module templates with fixed text and variables
Text modules can contain fixed or variable text and also images. Variables are automatically replaced with item-specific attributes (product data) from the product database in conjunction with the selected product alternative when the text module is generated in the context of a specific case.
For this, corresponding text module templates exist that are automatically assigned when creating a neutral item line in the product database or a case-specific item. The standard text module templates of a neutral product are always reused when an item is assigned to a sales record.
However, text modules can also be used without variables to include general comments in the product. For this purpose, text modules can comfortably be edited in the item using the integrated RTF editor. Individual text module templates can also be provided for neutral text modules. For this purpose, a text module template already present for an item can be copied to the template management and be used as an individual text module template.
You can create individual text modules either by creating your own text module templates in the template management or by overwriting the item’s text modules.
"Templates" tab of case-specific items
With case-specific items, you can find the text module template under Additional data. When selecting the record, further functions become available.
View template
Opens the template with write protection in the respective application (Word).
Edit template
Opens the template for editing in the respective application (Word). If a standard text module template – which is automatically created when the item is captured – exists, a copy of the standard text module template taylored to the item should be created.
Copy template
Creates a copy of the text module template. A different language needs to be selected. The new text module template needs to be edited, i.e. translated accordingly in the template management.
Edit text modules
- Open the configuration list of the case.
- Select the position concerned.
- In the function bar, click the Edit text module function.
- Modify the text module as desired and close the text processor.
