Tools in the “Extras” menu

The Extras menu offers useful tools including the Renumbering and Transfer content commands that allow you to replace the contents of several fields in one step.

With access permission for the menu commands (Extras/Tools/...), and provided that you have write permission for the corresponding data records, you can use these functions.

Renumbering

Lets you renumber integer fields. This function can be used for numbering records in lists with position attributes. Follow these steps:

  1. Open or activate the desired list.
  2. Place the cursor in the number column (position attribute or the like).
  3. Select all records you want to renumber.
  4. Execute the function in the Extras/Tools/Renumbering menu.
  5. Specify Initial value and Increment in the dialog and confirm (in the tag list you can also specify the reference increment for subtags).
  6. Save the changes in the database.

Transfer content [Ctrl+R]

If a column in a list displayed in the “Table” view is focused (e.g. by clicking in a field in the column) and several records in the list are then selected (selection column), the Transfer content function causes the content of the selected cell in the focused column that is currently focused or last had the focus to be transferred to the other selected cells in the same column. You can save or cancel this operation. The “Transfer content” command is compatible with column sorting.

  • Click or edit the field of a record in the list whose contents should be transferred to all selected records in the same column without saving.
  • Select all those records to which the edited field content should be transferred in the same column.
  • Execute the command [Ctrl+R].
  • Save the records in the list modified in this way.

Note: Remember that the content is transferred only to the cells of the selected rows, regardless of whether the selection was made by a click, Ctrl+click or Shift+click.

Search and replace for the customizer or administrator

The extended command [Ctrl+Shift+H] offers the possibility to search for and replace field contents. This command is only available via the mentioned key combination and helps you to consolidate field entries in extensive lists. Proceed as follows:

  1. Open or activate the desired list.
  2. The command refers either to all records in the list or to the marked ones. Therefore, load either the desired records into the list or select the records whose field contents you want to replace.
  3. Place the cursor in the desired column.
  4. Execute [Ctrl+Shift+H].
  5. In the dialog, specify the search entry (search for) and the replacement entry (replace by), and confirm. The search entry can include comparison operators, logical operators and words. Words are interpreted as regular expressions.
  6. Store the changes in the database.
  7. The command also allows querying for empty field contents and replacing it with something non-empty.

Show field information

This is a simplified form of the administrator function with the same name. With this function, you can identify fields better in order to find them in the filter or cockpit, or to assist the support. The output of the title in the data object and the data object title of the field will be helpful. For correct use, first activate the desired field (e.g. with a mouse click) and then execute the function.

Clear BLOB cache

BLOBs (Binary Large Object) are files such as images, icons, HTML pages, Office documents and other media files. There is no type restriction. All BLOBs required by the application are stored in the database. These are both user interface BLOBs (e.g. symbols for commands and functions) and user data BLOBs (e.g. documents or drawings) that are to be managed, processed or made accessible to users by the application. BLOBs are referenced and displayed directly in dialog fields.

The client always accesses the local BLOB cache first, meaning that resources of the same name are not automatically updated, e.g. after a server upgrade. If the local cache is emptied, all required images are loaded directly from the server and updated in the BLOB cache.

JustRelate CRM offers the Clear BLOBs function in the Extras menu. It allows you to empty the local cache if icons and other graphic elements are not displayed correctly anymore in the client, or if the server was updated.
