Prepare Excel tables (tips)

An Excel table can consist of several table sheets.

The tables must be prepared as follows:

  • In the table sheets to be imported, delete the headers that aren’t required. Only the header containing the column titles is required.
  • The columns should have comprehensible titles to be able to associate them easier.
  • Transfer the content from different columns meaning the same for the contact to a common column, and then delete the now empty column (e.g. "com­pany" and "company 1" are joined in "company").
  • With columns such as "address" that can contain different address types, a dedicated column should be cre­ated for each address type and provided with the respective address entries (e.g."street / P.O . Box" becomes "street" and "P.O . Box").

Reading in the data and configuring the mapping

  1. Open the contact import.
  2. Select Read and the corresponding Excel or CSV file.
  3. Select the Table sheet to be read in and ideally also Header.
  4. Click OK to read in the data.
  5. If you don't still use saved mappings then change to the Mapping tab.
  6. Next to the column titles, click in the Mapping column, and select a corresponding assignment.
  7. Check ... (replace) or ...(add) for data for which no counterpart exists in the CRM. These can be mapped into the comment field, for example, to not lose the information.
  8. Check Search to produce an automatic assignment between companies and contact per­sons as needed.
  9. If desired, you can store the mapping you just configured as a new mapping to reuse it for similar imports (Select mapping/New/OK).

Import

  1. Select the Import function and define the import attributes for all contacts to be imported .
  2. In the assistant, select the respective Group (for companies or persons).
  3. Choose a responsible Acc.manager if he or she is not assigned automatically from the sales region distribu­tion.
  4. Enter a designating Occasion.
  5. Determine whether the Duplicate check should be performed.
  6. Generate a new Ad hoc-list or select an available one to place the imported contacts in a virtual cache for further treatment. The ad hoc-list is also necessary for resetting an import.
