Groupware coupling

JustRelate CRM has an interface to MS Outlook and Lotus Notes. For the supported versions, please contact your JustRelate project engineer concerning the technical specification.

Note: The information provided here still refers to the discontinued Windows client and the client-side couplings. Along with the exclusive use of the web client, the client-side couplings will be more and more replaced by the server-to-server couplings.

Login sets and groupware integration

The interface between JustRelate CRM and the Groupware supports you with acquiring contacts from the Groupware, matching CRM contacts with Groupware contacts, and sending correspon­dences as emails from the CRM.

To facilitate communication with the groupware, please ensure the following as an administrator:

  • The client must be launched with a login set, so do not start the CRM with dynamic entries in the start dialog.
  • The parameters saved in the set must not be overwritten manually in the registration dialog.
  • The start set (application name) must be registered under Start-up options in the COM client startup information field. Only one entry is supported. If your users work with several sets, this entry must always be adapted. The groupware determines the CRM server connection parameters from the stated set, and can identify the accessing client from it. The COM data for the application are saved on a per-user basis for the next start of the groupware.

Global E-Mail configuration

Using the Administrator toolbox, you can set the Global E-Mail configuration, providing the settings of the global configuration of a system user (who is not logged in, meaning global), and the default settings for all users (POP3-Server, SMTP-Server etc.).

Deactivate "edit email with Word"!

Attention

Attention: The option "edit email with Word" is activated by default in Microsoft Outlook 2002 and later. Users should not use and deactivate this option in the CRM, because the interface for synchronization with Outlook and email dispatch in the CRM directly communicates with Microsoft Outlook and does not yet support the dispatch of emails with Word. You can deacti­vate it in Microsoft Outlook under: Extras/options/email format/edit email with Word.

Microsoft Exchange Collaboration Data Objects

Please make sure that the Collaboration Data Objects (CDO's) are installed for Microsoft Outlook. CDOs are required when using MS Exchange together with MS Outlook.

The CDO installation is not activated in an MS Office standard installation. You may need to add this feature on all client computers with the help of the Microsoft Office setups:

Note: The CDO installation is not activated with MS Office standard installations. In older Office ver­sions (2003), it is required to add this feature on all client computers using the Microsoft Office set­up:

  1. Start the Microsoft Office setup from system control / software.
  2. Select the option Add / Delete features in the Microsoft Office setup.
  3. Under the Microsoft Outlook for Windows feature, check if Collaboration Data Objects are installed.
  4. Activate the Start from my computer option if the feature is not installed.
  5. Update the installation.

This update enables the CRM to match Outlook data via Microsoft Exchange.

Note: With later Office versions, the CDOs are no longer delivered or used. Should you use Office 2007 or later, please inform your administrator and the CRM support.

Microsoft Office, security

The delivered JustRelate CRM documents or templates operate with separately provided add-ins that are automatically installed during the installation of the CRM. Since the server-driven creation of docu­ments is macro-controlled, it is necessary to adapt the security settings for macros. Please adapt the options for Security and Reliable sources accordingly in the Office applications.

  1. Start Microsoft Word.
  2. Select the Extras/Makros/Security menu.
  3. Activate at least the Medium option on the Security level card.
  4. Switch to the Reliable sources tab.
  5. Activate the Trust all installed Add-Ins and templates option.
  6. Confirm with OK.

Note: Depending on the security level you have chosen, it is possible that the user receives a security warning regarding existing macros in the templates delivered with JustRelate CRM. The macros must always be activated for automatic document generation to be fully functional.

Microsoft Office Excel, analysis function

For graphic sales analysis of cases, or in sales planning, Microsoft Excel is required. The Analysis functions add-in must be activated in Excel. Only then, a graphic analysis can be made and displayed. If the analysis functions are missing, you will receive the following message in the CRM: “MS Excel: Error: The analysis requires the Excel-AdIn 'ANALYS32. XLL'.”

Activate the corresponding option in Excel’s add-in manager:

  1. Start Microsoft Excel.
  2. Open a new (empty) document.
  3. Select the Extras / Add-Ins-Manager menu.
  4. Activate the Analysis functions entry under Available Add-Ins.
  5. Confirm with OK.

Email and appointment connector

You can control the email and appointment connector through the PSA_SFR_EMA_SYN­_DLG = y/n and, respectively, PSA_SFR_APM_SYN_DLG y/n environment variable.

Whether and how the respective correspondence form in the CRM (email, appointment) is opened after groupware synchronization through the CRM can be controlled by means of the PSA_SYN_OPN_NEW_EMA, PSA_SYN_OPN_NEW_CON, and PSA_SYN_OPN_NEW_SVC = y/n/MOD environment variables.

  • y: The form opens non-modally.
  • MOD: The form opens modally.
  • n: The form does not open.
