Adjusting and fitting

As an administrator, you adapt objects, processes and functions always globally, so that the changes can be seen or used by all users. For them, you can adapt menu entries in field selection menus, as well as adjust settings via environment variables. For this, various tools are available.

Attention

Attention: It is not possible to overwrite default entries that are delivered with JustRelate CRM in the stan­dard. If you overwrite such entries and defaults (where this is possible), they are reset to the default values of the standard when the CRM system is next upgraded. You should always make adaptations as the "sale­sadmin" user by creating your own new entries and values. These new entries are not changed during upgrading.

In the lists for adjusting and setting, the entries are automatically highlighted in color for a better overview.

  • white: CRM default entries that can be overwritten,
  • red: CRM system entries that may not be changed,
  • green: Entries adapted or created by the administrator that won’t be changed by future upgrades.

Access to entries must keep read access

Attention

Attention: With entries in administration lists, access to them must not be changed. In particular, activity and project subtypes must retain their read access for all users. Read-only access cannot be administratively restricted to specific users. If it is necessary in a customer project to specify that subtypes need to remain invisible for some users, this is not a task for the administrator but for customizing.

The “Administration” menu

Note: If you are an administrator who frequently uses the tools or the administrator toolbox, then it is recommended that you customize the administration menu to suit your regularly recurring requirements. See How to personalize the user interface.

Here, JustRelate CRM offers you access to entries in selected menus of form fields or list boxes. These menus are, primarily, field selection menus offering various menu entries you can change individually, delete, and also complement with additional entries. All changes globally affect the objects in which the menus are used.

The Administration menu lets you open mainly lists in which you can change entries for selection menus (Choice boxes) for fields. To these lists, the following applies:

  • The elements are described by the "identifier" or "key", "position" and "name" attributes. In some cases, there are additional attributes. The identifiers can be derived in part from the standards, but they must always be provided.
    Note: The "external key" columns in various tables are for entering key values from third-party systems. Those fields don't have to have entries.
  • Most lists allow you to create entries. Pay attention to the uniqueness of the identifier. In many lists, the identifier is preset from the data object on creation. Identifiers are anchored in the record.
  • You should not delete or overwrite entries delivered with JustRelate CRM. Entries with an EMPTY identifier must not be deleted.
  • You can always change clear text names, for example, if different terms are used for specific circumstances in your company.
  • Some lists have informational purposes only. Changes (except for the name) are not allowed, because they always lead to changes in the installed logic. Contact your JustRelate customizer or your support partner if you need to adapt such components.

Note: All changes to the standard or new entries should be recorded for your own security.

Referenced selection menu entries

Selection menu entries are connected with the objects in which they are accessed, in forms or selection dialogs. The following should be noticed as well:

  • There are select menu entries that can be freely edited or deleted, without needing a reference to the form in which the menu is used.
  • However, there are also selection menu entries that can create a fixed association with the form in which the menu is used, and they can only be deleted if this link is removed.
Attention

Attention: If you try to delete selection menu entries and receive the message (X) references on "(object)" were discovered → deleting not possible!, it is unfortunately necessary to remove all relevant references. For this, search the affected records in the mentioned objects using the filter or search mechanisms of the CRM, and remove the reference. Specify a different selection menu entry, or delete the active one. Refer to your JustRelate customizer if extensive changes in the standard lists of the data objects become necessary. She or he can make limited adaptations here. The standard list is not designed for data maintenance but only serves as a view. As an exception, it can be repaired here. In certain cases, the standard list facili­tates access to the database, if it would only be possible with SQL otherwise.
You should particularly never try to insert a record or check in a BLOB in the standard list!

Managing implicit relations

In addition to the associations, there are implicit relations in the CRM, mostly if PSA_MEN (menu) items including their ID and text are copied redundantly to various objects. This is disadvantageous when changing the selections because it is not clear anymore where else this selection is in use. On the other hand, with an administrative change to a menu item, it cannot be easily controlled if the depen­dent uses should be updated as well.

Transmit values to records

This function copies values to a record and can be found in the function bar of various administra­tion lists.

The function opens a dialog for every selected row, showing the usage of the data object and the values within this usage. Differences are displayed in red, identical entries in green color. Here, the values from the administrator table can be transferred to the usage.

This is necessary because there is no link between the selection value and data for these administrator lists. Hence, name changes to a selection value are not automatically applied to the data.

If you would like to transfer the new values to the data, you can use the Change values function in the individual usage dialogs.
