Access concept

Overview

The following is meant as hints on how you can influence account access authorizations, views, profiles and roles as you are creating the company structure and the staff mem­bers. For this, the user administration is used as well.

Company hierarchy

With JustRelate CRM, the views of the superordinate levels are already defined as you create the company structure for controlling, since the view of the upper level on the subordinate levels is defined by structuring the departments hierarchically. The staff members assigned to these (department) structures are initially subject to this hierarchy.

Groups and profiles

Next to the hierarchical view in the CRM, user groups and profiles are used to which users are assigned who then have different access to the corresponding modules in the CRM. The profiles distinguish between VIEW, MASTER and ADMIN.

Roles

In addition to the above-mentioned points, placeholders are provided that are filled in by specific roles of a staff member. This lets you control the kind of access staff members have, for example, to a case, inde­pendently of the profile or the user group, by integrating them into the case and giving them the "business agent" or "technical leader" role.

Record access

The simplest way to control access, however, only to individual records, is letting the record owner define the access level, meaning that the owner (creator) of the record can specify which groups or individuals receive read, write, or delete permission.

Access to user interface objects

Customizers or administrators with knowledge of the data model can use "Easy customizing" in the CRM to organize the task-related controlling of the user interface by means of profiles. With the help of access definitions for user groups, specific objects of the user interface can be hidden, for exam­ple tabs, fields or functions, so that task-specific views of the application originate.
