Postprocessing in the contact postprocessing wizard

Marking persons for postprocessing always creates post- records in the intermediate CPPW table. All contacts marked like this (whether in the app or in the web client) are associated with a postprocessing record.

During postprocessing, contacts are created, or existing ones are updated in the data­base.

The contact postprocessing wizard (CPPW) can be launched

  • via the Extras/Contact Postprocessing menu. Initially, all postprocessing records with an open postprocessing status are loaded.
  • for a person via Contact post processing. Only this person will be loaded into CPPW.
  • for an appointment using Post process attendees. This determines all contacts with an open postprocessing status from the attendee list of the appointment and loads them into the CPPW.
  • in the Fair lead import (Extras/Fair lead import menu). At the selected fair report (appointment) using the Contact post processing select function.

Post-processing contacts already present in the database

It is of course also possible to postprocess persons already existing in the database via CPPW, e.g., if data has changed or newer data has become available.

If a company is linked to the person, then the company will be included in the postprocessing.

At the person

In the web client, the Post-process contact function enters the data into the CPPW and opens it (master data, duplicate check for the company or person). "Completion" finally updates the contact in the database.

Postprocessing appointment attendees

This is primarily for appointments that were made, e.g., at a fair using the fair app, or during a customer visit using the visit report app. Attendee postprocessing is only useful if the con­tacts were captured via the visit report app, i.e., if an appointment exists.

In the web client, all attendees with an incomplete postprocessing status can then be loaded and sub­mitted to CPPW using a function of the appointment concerned.

Postprocessing attendees

This appointment function in the web client determines from the attendee list of the appoint­ment all contacts with an open post-processing status that are already present in the intermediate table of the CPPW (the traffic light status is red or yellow).

The attendees can then be further postprocessed in the CPPW (master data, duplicate check for company/person). "Completion" finally updates the contact in the database.

Postprocessing a contact in CPPW

When the CPPW is opened, the traffic light symbol indicates the post-processing status of the respective contact:

  • Red = unchecked
  • Green = checked
  • Yellow = in process

A marked contact can only be postprocessed individually. There are several ways to correct or qualify the contact.

Master data adjustments

  • Manual revision of contact master data, field by field.
  • If a company is found in the database that can be uniquely assigned to the captured contact (e.g. information from the business card), then it is automatically linked to the captured person.
  • "Select business card": If necessary, select an existing business card that is assigned to the contact as the "Business card" document type.
  • "Select business Card ... New": Create a new document of the "Business card" type for the contact, e.g., business card as an image file from the local file system.
  • "Recognize business card": OCR of a business card that can be seen at the record in CPPW.

The data from the business card needs to be compared with the contact data, and changed data needs to be applied if necessary. After correcting or revising the contact attributes as precisely as possible, check for possible duplicates using Continue.

[Doublet check: Company] [Doublet check: Person]

  • Checks the person or the company captured together with the person for duplicates in the system. The default duplicate rating can be customized (little gear button).

Searches for similar contacts already present. In the "Compare data" section, matching attributes are highlighted in color when contacts are found.

Use existing contact ...

"Existing contact" refers to similar contacts already present in the database. Using this function, the selected existing company or person will be used in further postprocessing.

Select/New

Alternatively, another existing contact in the database can be selected, or a new contact record can be created and assigned.

Click Continue to complete the postprocessing.

Completion updates the data and merges it if needed.

When merging, Complete opens further comparison dialogs by means of which data can be checked and specified.

Attention

Attention: When merging data records, contact assignments (e.g. relationships or components) can be affected. Prior to merging, the system determines the number of contact assignments that are expected to be changed, and presents it to you as a note, including a query. This is to signal to you that the merge will modify a contact that is involved in cases, etc.

The contact data corrected and qualified in the CPPW is written from the CPPW to the imported con­tact on completion of the postprocessing, updating the imported contact. The traffic light symbol then switches to green.
