Printing a report

How to proceed:

  1. Open the report manager using the Print command from the menu bar.
  2. In the Choice field, mark the reports to be exported.
  3. Select the row of the respective report to specify its Search conditions.

In the search conditions, you can specify whether records from the relations of the mas­ter data should also be exported (check mark).

For relations in the Search conditions area, such as activities, documents or quotes, you can also filter for specific data records using special attributes such as Status, Type, Subtype or Date, which are then exported.

Example: You would like to print a report in the form of a data sheet for a person. Next to the master data of the contact, the report should con­tain only all open tasks and documents of the "information" type.

  1. Open the report manager.
  2. In the report manager, select the Extern person: Data sheet... report.
  3. Click into the row of the report to select it.
  4. Switch to the Search conditions and remove all check marks next to Export, except the check marks of the Open activities and Documents elements.
  5. In the Open activities element, click in the Type field and choose Task from the select menu.
  6. In the Documents element, click in the Type field and choose Information from the select menu.
  7. Click the Run button (in the report manager at the top right).
  8. The report opens in MS Word or in the report preview and can be printed.
  9. Click the Save button in the report preview to store the report at the person.

Note: For technical reasons, the report preview in the web client shows only the first page after generating a report (e.g. quote). The preview is a native app in which the document cannot be displayed embedded or scrolled. For this reason, only an image of the first page is generated and displayed.

Tip: The Display function in the preview displays the report (PDF) in the linked application (e.g. the web browser) where the document can be checked. Since the report is usually saved at the source record (e.g., a quote), the PDF is also available at any time after saving.

Printing loaded hits as a list

You have the possibility to print the loaded hits of a query as a list. This report can be generated via the report manager.

Admin: If the environment variable PSA_SFR_RPT_MNG_ADD_XLS is set to y, a row (without report template) is inserted in the report manager for the export to Excel.

The report manager allows you to conveniently print several selected reports in one document without having to confirm the report preview after each report.

In the report manager, the Generate one PDF document option is available. If you select this option, the created reports are converted into the PDF format and are merged into one document. If the individual options for the document title, the relation, the document type and the preview handler are unambiguous, the complete docu­ment is displayed in the report preview. There, the report can be saved, sent or printed. The Save function places the document at the user (My data, Documents tab), as opposed to single reports. The additional Save as function allows you to save the document in the file system.

Automatic Excel CSV export with unavailable DIM

The application server can automatically detect whether DIM (Desktop Integration) is available. If this cannot be used (e.g. not active or different OS), the report is automatically exported as a CSV file of an Excel list when it is generated via the report manager.
