Transferring a case

If you transfer a sales record into another sales case, a new sales case is created as a successor of the source record.

  1. Open a sales case.
  2. Select the Transfer function.
  3. Decide whether you want to transfer the case to a business opportunity, a quote or an order.
  4. Select the structures that should be adopted by activating or deactivating the check mark in the offe­red relations accordingly.
  5. Click OK. A new form opens.
  6. Name the record unambiguously.
  7. Edit the record in the mask, or click OK to save it immediately.
  8. The source record remains in place.

Every record can be traced regarding its source and successors, or assigned individually using the Trace back tab (under Additional data).

If you delete a source record later, only its assignment to its source record and successor records is removed. Direct follow-up records lose their superordinate levels in this case, but not their own subordinate structures.

Transferring ​a pinboard

When transferring a case, you can decide whether the pinboard is also transferred (option in the transfer dialog for cases). The option is deactivated by default. In the target pinboard, the historical entries are separated by a separator, a regular system post.

Versioning when transferring and copying into an identical sales case

If you transfer a sales case into the same case (a quote to a quote) or duplicate it, the system assumes that a new version of the same record should be created. When the record is saved, a corresponding query is issued. After confirming, the version number of the new version under Additional data is incremented by one. The source record receives the Copied on new version status and is automatically no longer forecast-relevant (it has, for example, no Forecast-Flag).

Attention

Attention: The function Transfer removes the flag Forecast. Thus, the transferred new case is no more in the forecast pipeline (analysis).

Specifying an agent when transferring cases

When transferring a sales case, you can specify whether the "business agent" of the source case should be maintained or changed to the logged-in user (if, for example, the quote is transferred by another business agent and is further qualified by them).

The new environment variable PSA_COP_PRO_COM_PRS controls the behavior. The following values are allowed:

  • CUR: new agent – transform current agent
  • OLD: keep agent – keep existing agent
  • ASK_OLD: ask for keeping the agent – keep agent after further inquiry (default)
  • ASK_CUR: ask for new agent – update agent after further inquiry
  • CHC: select agent – select a new agent
