Qualifying marketing actions

The main goal of marketing actions is to provide information to a broad audience. Con­tacts are collected extensively and then addressed through telemarketing, events and newsletters, and their responses are analyzed.

The procedure for qualifying or processing marketing actions is the same as for sales cases. With marketing actions, you can create relations and use activities in the same way.

Qualifying marketing actions via activities

Qualifying marketing actions systematically may require numerous activities in the form of tasks, appointments, phone calls and, of course, correspondences. Every case offers functions for creating activities you can then manage in the activity management. Documents and data complementing an activity can also be managed here, activity series can be set up, the Status of an activity can be set, the Responsibility maintained or delegated.

Activities that have come to an end receive the status Completed. This can be done in the activity management or also directly in the relation of the activity in the marketing action (Activities tab). You can recognize the status Completed, e.g., in the Activities tab of a contact, or by the check mark in the Status field. Here, an activity of the task, appointment and phone call type can also be marked as done (click the sym­bol).

Action context in activities

When you create activities, you automatically become their agent. New activities can be created via the function bar in contact forms and marketing actions. Activities that are created in a marketing action belong to the context of the action. If further assignments (contacts, documents) are created in the activity, the CRM provides the corresponding specific context.

Attempting to delete a contact from a marketing action with not yet completed activities causes a notification to be issued, asking you to first close these activities.

Assigning activities

Standard activities are automatically generated for any new marketing action. When all data has been collected and all important relations (products/services, contacts, competitors) have been set up, the respective activity can be given the status done (see Qualifying contacts by status and activities). Further activ­ities can be created using the functions in the function bar on the right-hand side of the form.

  1. Open a marketing action.
  2. Create an activity via the function bar by clicking Activity (New).
  3. Edit the activity.
  4. Click on OK or save the record.

Delegating activities, changing the responsibility

You can open an activity from the Activities tab and change the Responsibility. If you assign a staff member (Responsible) other than the one specified in the marketing action, the activity or task counts as delegated. The staff member then responsible will see this activity in their Entry Portal and needs to confirm the assignment of the task or state the reason for refusing it. To do this, they open the activ­ity, click the Status button and handle the delegation accordingly.
