Creating and sending a commercial proposal

Using the standard print command, you can start the report manager and automatically create a quote docu­ment containing all case data and information for the customer. This document is displayed by the internal viewer (report preview) or in your text processor. It can be saved as an attachment of the case (Documents tab), or be sent as a correspondence. All positions and prices are usually displayed in the business quote. However, you can suppress selected positions and prices when generating it.

To do this, simply activate the Suppress position, Suppress price or Suppress structure fields in the scope of delivery (configuration) of a quotation at the corresponding article. The selected prices or positions will then not appear in the quote letter.

You can create text modules already at the case-specific product, which makes then automatically avail­able in quotes. Alternatively, you can create new or individual text modules directly in the case and also edit them there.

Attention: If you want to print a quote, a customer must have been specified in the quote. If this is the case, the calculation and creation of product text modules is started in the background. After they have been generated, you can edit the text modules using an RTF editor.

  1. Open a quote or an order.
  2. Check if you want to suppress positions in the quote letter (Supress position, Supress price, Suppress structure).
  3. Check whether text modules should be created again. This is only necessary if the configura­tion list was modified after the text modules were last created.
  4. In this case, delete them first (Delete text modules ... ), and then create them again (Create text modules ...). Changes made here to positions of the quote affect only the quote-specific position of this quote and not other sales cases in which the same position is used.
  5. Save the record.
  6. Check whether you have marked a specific contact as an addressee of the quote using the Recipi­ent flag (in the contact list of the case), so that it can be used for every corre­spondence as a "case contact".
  7. Call the standard print command to start the report manager and choose Commercial proposal or other reports.
  8. If necessary, check in the Search conditions of the report manager under Products whether options or alternatives should be output.
  9. Click the Run button.
  10. If necessary, edit the document in the background or make a printout.
  11. Close and Save the document in the sales record.
  12. Or Send the document from the Report preview (if you created a PDF) by creating a correspondence. In this case, it is not saved as a docu­ment but as an attachment to the correspondence.
  13. If necessary, select the recipients in the correspondence form. In the selection dialog, all contacts from the quote are already preset. Save the correspondence.
  14. Select a function from the function bar of the correspondence form according to the Dispatch type.
  15. Create the accompanying text or letter, and proceed according to the dispatch type (let­ter, fax or email).

Note: The Send function from the report preview only creates a correspondence. The docu­ment is not assigned as a case attachment. You can find the relation between the correspondence and the case in the Activities tab.
