Resources of an appointment

By assigning resources to appointments, it becomes possible to plan appointments not only with their attendees but also with resources such as rooms, projectors, vehicles, demo machines, etc. This allows you to use resources that were created in the resources management for appointments.

Furthermore, you can manage internal staff members as personnel resources that are primarily availĀ­able as technical personnel for service appointments.

Note: You do not necessarily need staff member resources for an ordinary assignment of attendees and resource planning at an appointment.

The Appointment form has an Attendees tab. It contains an attendee list and a resources list.

  • The attendee list shows all appointment attendees (assigned internal and external persons).
  • The resources list shows all assigned general and service object resources. It contains a Notice field, so that appointment-related information can be placed in the assigned resource.

General conflict checking when planning

In resource planning, when assigning a personal or a technical resource, general conflict checking for other open activities in the appointment time frame is performed for this resource. If there are, a message is displayed. In this case, the utilization of the resource should be checked and consolidated.

Locking a resource in planning

Resources can be locked for planning. There are two ways to do this:

  • The administrator can introduce a corresponding resource status, e.g., Repair, where the Liable to release flag is deactivated.
  • You can create an activity for the resource, e.g., an In repair appointment that blocks the resource in planning (exploiting the conflict).
