Creating a product or service master record

All articles that you create as an administrator using the administration menu are included in the CRM product catalog. The articles an end user creates, e.g., in a quote, are case-specific or com­modities in sales cases.

You can create a product/service master record either through a CSV import or directly in the CRM product man­agement by creating a new record and assigning a structure to it. When creating structure relations, it will be necessary to cre­ate positions complementing the existing ones, which can be done via the selection dialog. This has the advantage that you can first create all relations, and edit all records afterwards.

  1. Select the Administration/Products/ Products/services menu.
  2. Create a new product/service master record.
  3. Check whether you would like to use a neutral calculation group for the article. You can create neutral calculation groups under Administration / Products / Services / Neutral calculation groups.
  4. Check whether Fixed price fields need to be included for the quote generation. You can manage the fields for fixed prices under Administration / Products / Services / Fields for fixed prices.

Note: The prices in fixed price fields cannot be overwritten when the quote is calculated. In a quote, the entire article structure is calculated from the bottom upwards, causing the prices of the top positions to be changed by those of the subordinate positions. Specifying fixed price fields can prevent this if necessary.

This only affects quote-specific items (quote-specific usage) and not the calculation of a neutral article.

Creating neutral item structures

  1. Switch to the Structure tab and create the neutral structures for it.
  2. Click on the Number field and enter an existing product number.
  3. Or click on the Select product/services button.
  4. Create relations to selected records.
  5. Decide which groups and positions within the neutral structure are Optional parts in the Structure tab.
  6. Decide which groups and positions within the neutral structure belong to the master (Selected) in the Structure tab.
  7. Save the record.

Note: You can specify important documents such as product specifications in the Documents tab. You see in the Use tab if the article is used in a superordinate structure.

Status driven presetting of the scope of supply of the service order

All PSA_SVC_ORD_... services orders (except the spare part order or the maintenance order) whose status changes to "created", i.e., immediately after creation of the service order via the status function "copSt­dArt", are preset with case-specific dummy items with a quantity of 0, and 0 as the copy status. The neutral arti­cles to be referenced must exist in the product database. They are identified by the external key EXT_KEY.

“Structure” tab

Creation of a neutral product structure for an article.

“Documents” tab

Assignment of all product documents.

“Competitors’ products” tab

If a competitor product was created in the Competitor management and placed in relation with an own neutral product, it appears in the neutral article under Competitors' products.

“Use” tab (structure)

If an article is included in the structure of another article, it is displayed under Use.

“Activities” tab

Displays the activities for which an assignment exists (Save as in activities).

“Sales” subform

The product management can see here which articles are used in which cases. The product management sees in the Products in cases tab how often an article is used. From this, it can be derived which products the customers pre­fer.

Function bar: Show/export picture

Opens an imported icon in the corresponding application so that it can be saved locally.

Function bar: Import picture

Opens the file selection dialog to assign an icon or replace an existing one (overwrite).

Function bar: Delete picture

Deletes the imported icon from the record.

Function bar: Compare data...

Compares the data of the neutral product database with the data of the delivery items in sales cases. This allows you to check whether there are deviations of the data in the scope of supply of the quotes.

Function bar: Transfer data...

Updates all data in the scope of supply of the quote or order with those of the neutral product data­base.

Attention

Attention: This overwrites quote-specific data.

Structure import

Import of the article structure from a local CSV file.

“Service” subform 

The product management can see here, which articles are used in which connection in the service.

Customer installation

If you select a service object in the Service object tab, you can open the installation database of the customer using the Customer installation function.
