Account administration by administrators

In the Administration/Contacts/Groupware user list, the administrator is able to see and manage the staff members' user-specific configurations. The list shows individual login data (Groupware configuration, Groupware user, Groupware password encoded, options: synchronize appointments/tasks). The follow­ing functions offer administrative support:

Display user information

Displays all Groupware data of the selected user if the Connector is able to contact the Groupware server.

Refresh user settings

Refreshes email and Groupware data of the selected user in the CRM. Those are:

  • Entry in email (email address 1)
  • Entry in E-Mail-Exchange (entire email address in the Groupware or Active directory)
  • Lotus Domino only: Relative path to the user's email database. This path is stored in the user-spe­cific variable PSA_LNS_SRV_FIL, and is also evaluated by client-side interface. The user does not need to enter the path into "My Data" in her or his personal client Groupware configura­tion (set the synchronization folder).

Note: This function enables the administrator to update the entire email and Groupware data in one step after the staff members have entered their personal data (user name, password...).

Creating missing assignments

The list shows all entries that were made by users via the email configuration in My data. If employees haven't set an assignment, then the Create missing assignments function at the list generates a default assignment for all employees without a Groupware assignment. With the help of the "Inactive" flag, selected employees of the circle of persons c) can be explicitly excluded from server-side groupware access. This is always necessary if JustRelate CRM is not allowed to access their Exchange accounts for security reasons (e.g. management).

System requirements

The following groupware servers are supported:

  • MS Exchange Server from 2010
  • Lotus Domino Server 7.0, 8.0, 8.5 (with latest Fix Pack)
  • Google G Suite service account

Login name and groupware settings of a user were changed

If the administrator has changed the login name and the groupware settings of a user, and the Groupware Connector job still looks for the old name, and encounters an exception, proceed as follows:

  • Check for the correct spelling of the login name.
  • Make sure in the groupware user list that the groupware user has also been adjusted.
  • Clear the cache.
  • Empty the groupware ID field at the internal contact (the ID is filled in automatically again).
