My data

Users can see their own data in the My data form, and update them if necessary. They can also change their password and configure their email settings here. The form displays all relevant pieces of information and provides an overview of the important objects in which the user is involved.

In the main form, you can find, next to your own contact information, an overview of your cases (sales, marketing), important documents, and activity attachments. In Additional data, additional information as well as an overview of your contact relations, accounts, mailing lists, teams to which you belong, and also individual properties can be found. An overview of your activities and tasks is provided in your personal Entry Portal.

Activities

In the Activities tab of the form, the activities the logged-in internal staff member is responsible for, and in which they are allocated as a client, regardless of the state of completion, are listed. Open activities are also displayed in the staff member’s Entry Portal.

In the user administration, the administrator can specify additional attributes the user then finds in their own data.

If the name of an internal contact changes, this contact must be modified. Attention needs to be paid to the fact that the user and group IDs must be preserved, and only the names should be modified. This ensures that all data the user managed up to now still belongs to them and can still be used, even if the user logs in with a different login from then on.

By means of the Change name function in the user administration, you can assign a new login name. This new login entry will be modified automatically in the following objects concerned, as well as the name of the access group.

  • Internal staff members
  • Login management
  • Groups assignment
Attention

Attention:  If you only change the name of the CRM user and not the user’s login, then the group name subsists, and the "old" name still appears in the record access dialogs. In this case, the administrator needs to use the Create access function which, among other things, changes the first and last name.
