When deleting an internal employee, the user and access group are automatically deleted as well. Please remember to first transfer the objects, such as contacts, tasks, etc., assigned to this employee to a different user.
Deleting staff members and transferring all objects
Note: Before you delete an internal staff member, you should check whether this is absolutely necessary, because the history of the objects of this staff member might be influenced in the CRM system. If possible, first set the status of the staff member to eliminated, which disables their login, but preserves their assignments.
If staff members leave the company, they must be deleted from the system. Numerous objects like documents and cases may be connected with the staff member record. They would lose their assignment through the deletion of the staff member and would no longer be available in the system. Whenever a staff member is deleted, the system checks whether object assignments exist or not. If object assignments exist, they need to be transferred to other internal staff members.
For this purpose, the function Transfer objects/All is available in the function bar of the user administration. It is used if a staff member has left the company, and will then be deleted, to transfer all objects related to them to a successor. If you delete an internal staff member and the system detects object assignments, you will receive a corresponding message.
- In the user administration, open the staff member you want to delete.
- Select Transfer objects/All from the function bar.
- Select the target person to whom all objects of the employee to be deleted should be transferred to.
- All objects of the staff member to be deleted are transferred and reassigned.
- Check the new assignments in the record of the destination.
- Open the form of the internal person and Delete this staff member record.
The administrator who deletes a staff member is asked whether all sessions of the deleted person should be terminated, if there are any. This ensures that the staff member’s login can be deleted in the database, and he or she cannot use it to log in.
