Configuring time tracking

The Administration/Service/Processing/Time types menu opens the list of all time types a field service member can stamp. There are order-independent time types (e.g. break, meeting) and order-related time types (e.g. planned or unplanned missions).

  • Order-independent times can be taken down in the accounting sheets of a dummy project (e.g. for a breaks). For this, such a project with an accounting sheet must exist, and the global ID of the accounting sheet must be entered in the Value field.

    Note: The ID of an accounting sheet (PSC_GID) can be determined using [Ctrl+Shift+O].
  • Field service members add order-related times to the order accounting sheet they select when stamping the time. For this selection, filters are offered to the field service on accounting sheets. These must be specified in the Value field as a comma separated list of filter IDs. The filters themselves must be writable for the WORLD. The Additional text field specifies the title of the selec­tion.

    Note: In addition to the filters entered here, the selection in the app contains further filters that the app pro­vides dynamically (e.g. interrupted orders).
  • The "Working time relevant" column controls whether the stamped time is included in the total. The sum of the working times per day is displayed in the timesheet of the time recording.
  • The "item categories" column controls the distribution of stamped time to item quantities (see the section below).

Note: In accounting sheets, it was previously possible to assign time records to the service positions to be confirmed. The times were cumulated in the "Actual quantity" field of the service and formed the basis for billing. This procedure can still be used if the response (e.g. from the office staff) is given directly in the accounting sheet.

Since the introduction of the Response App, the times stamped by the field service are no longer directly linked to the items, but are automatically distributed via a function to items with times as the quantity unit. This procedure is able to separate cost and revenue, which is often necessary in practice. The distribution function considers the target times at the response positions. In this way, the field service can be offered an optimally preset response scope of supply based on the times actually stamped. If necessary, they can subsequently correct the distributed quantities.

The "Item categories" column in the time type management lets you control the distribution (see the configuration of the time recording), and the "Distribution" section can be found on the account­ing sheet.

Item categories

In this column, the item categories (process identifiers) to which the time type is to be distributed can be entered.

The item categories must be items with times as the quantity unit (hour, minute), e.g. "Service".

An individual item category may only be used for one time type. Comma-separated lists of item categories are allowed, but may only be entered in identical form for several time types.

Options in the "Distribution" area on the accounting sheet

  • Method: Sets the distribution method:

    None: No functional distribution of times. This setting is necessary if times are linked to positions (old method, see above).
    Server: The distribution function is executed on the server. This requires an online connection of the app to the server when the response is queried from the time recording. This function can be adapted (through customizing).
    App: The distribution function is executed by the app.
  • Work unit: Defines the time grid in minutes that is used in the distribution. The position quantities as a result of the distribution are rounded to this value.
  • Distribute: Executes the distribution function on the server. This function can be used to trigger the distribution manually if required, e.g., if the app is not available. After operation, the total amount of time to be distributed is presented in the Quantity field (informative), and the Distributed flag is set.
  • Distributed flag: Indicates whether a distribution has already taken place via the server function or the app. As long as the flag is set, no redistribution will take place.

Example distribution:

  • Work unit = 15min
  • The response scope of supply contains two service items:
    Position 1 with a target quantity of 2h
    Position 2 with a target quantity of 4h
  • The field service stamps 7h5min for a planned mission, rounded to 7h.
  • Those 7h are distributed as follows:
    At position 1: 2h20min, rounded to 2h15min
    At position 2: 4h40min, rounded to 4h45min

Configuration of the questionnaire in the response

The response contains the questionnaire specified in the accounting sheet. For this purpose, the account­ing sheet has the "Questionnaire" tab. It contains a questionnaire selection, the answer list, and the "Preset answers" option.

  • The questionnaire selection can be filled in through customizing, e.g., depending on the order type.
  • By means of the "Preset answers" option set for the questionnaire, preset answers from the questionnaire definition are passed from the server to the mobile device and displayed there.
  • The PSA_PRC_OBJ_JSN_QST_QUE variable contains the questionnaire number. It defines a global question­naire as a fallback if no questionnaire is specified on the accounting sheet.
  • The PSA_PRC_OBJ_JSN_QST_QUE variable sets the language of the questionnaire in the response.
