Sharing documents from the JustRelate CRM App

The JustRelate CRM App for smartphones and tablets supports passing documents and media from mobile devices to the CRM. The files are sent to a queue with an editable message.

If you are logged into the CRM on the device and the device is online, the message with the document is sent to the CRM immediately. If the device is offline or you are not logged in to the CRM, the records wait in the queue.

Procedure with mobile devices

  • Open the document in the respective app
  • Tap the share function (icon) of the document
  • Select the CRM App for sharing
  • Create the accompanying message including a subject and comment
  • Send the message (will be transfered to the queue)

This standard procedure is independent of whether you are online or logged in to the CRM. The queue can be viewed via the settings dialog of the CRM login screen on the mobile device (cloud icon). You can remove not yet transmitted data from the queue if necessary.

Procedure in the Web Client (processing shared documents in the CRM)

The imported documents are created in the CRM with a subject, type = information, status = archived, and note = mes­sage text.

A message in the client (supported by the notification function) informs about imported documents. The hyperlink of the subject of the message opens the Shared documents dialog.

You can identify shared documents on the rich client via a watchlist (fixed "shared documents" node in the desktop sidebar under Ext. Documents). The node displays the number of shared (imported) documents.

You can open the Shared documents form using the hyperlink of the watchlist, or from the message. It contains the list of shared documents (type icon, subject, creation date, status), sorted in descending order by the date of import or creation in the CRM.

On the right-hand side of the mask, selected attributes (subject and comment from the message, thumbnail as a hyperlink) are shown for the selected document. You can open and view the document via the thumbnail hyperlink, and read the message text in the note field.

You can assign documents directly from the Shared Documents list or from the document form (Open in form) to another open object (project, ...) using drag-and-drop. The document status is then automatically set to “archived”. At the next refresh, the document disappears from the Shared Documents list as well as from the watchlist.
