File server management table
In the file server management table, the connection data of all file servers used in the subsidiaries are stored. Since usually all internal staff members of a subsidiary use the same file server, the local file server is defined for the staff members of one department. If no file server is assigned to a department, the staff members work directly on the application server (with accordingly lower performance when checking in documents).
The management table in the Administrator area has the following attributes:
- Logical name of the file server (e.g., name of the subsidiary)
- Host name
- Port
- File server status (connection active / inactive)
- Free text
File server definition for departments and staff members
In the Own company / internal department and Internal staff members forms, a function is available for selecting the file server.
- The workgroup file server function opens a dialog in which the file server can be selected. In addition, the configuration data from the file server table is displayed in the dialog.
- The file server configured for staff members has precedence over the departmental file server, meaning that individual staff members can use any other of the file servers different from the superordinate department.
Document file server assignment
It must be possible to distribute documents that were created or changed in the company headquarter or a subsidiary to the subsidiaries in a timely manner. The file server tab is offered in the documents form, where file servers from the file server management table can be specified. The documents are distributed automatically by the batch process.
If a file server is specified for a document folder (element for document classification), all documents in this folder are distributed.
