Request processing

Open and display

You can open the portal from the Sales/Marketing/Lead management or Sales/Sales/Lead manage­ment menu. In the list, you can use the Owner quick filter.

My = requests where I am the responsible

This is the case if

  1. I checked in the correspondence myself, or
  2. the system entered me as the person responsible (e.g. on automatic email import, questionnaire actions etc.).

By selecting the respective request from the requests list, it appears in the detail form above. There, all the information about request processing, such as note / email body, attachments, fol­low-up cases and follow-up activities are presented. In the list, the status and priority can be tog­gled.

Additional data

  • Responsible (for delegating)
  • Status (you may want to set “Follow-up completed”)
  • Main project (you may want to assign an existing project)
  • Source of the selected request

The tab presents the (additional) request classification (as in the multiple-choice classification dialog), displayed dynamically (changes when scrolling the list). The classification in the tab is editable.

The Source of a request can be edited using a drop-down list (administrable). It is taken over when an existing or new follow-up activity (from a multiple choice dialog) or a follow-up case is assigned if the source of the case is empty. If a source is already present in the case, a query is made whether the source should be overwritten.

Several sales cases can be generated from one request.

Evaluations

The Report tab contains various quick filters for evaluating the success rate (y = main sta­tus, x = number similar to funnel): Main status (main status – compression), progress (symbol compression), entry date, optionally grouped by Month, Quarter or Year.

Among other things, the bar display of the evaluation can be filtered by

  • classification,
  • additional Classification,
  • source.

The Source evaluation shows a diagram with stacked bars (per source, which and how many processes).

Info

Admin:  The PSA_ACT_REQ_DIA_FIL_GAP variable can be used to specify whether the gaps between the data are to be filled, and how many bars are to be displayed per view.

Visit report

Here, you can access visit reports with questionnaire responses for appointments and phone calls without having to leave the portal.

Cockpit

If request evaluations are required in the cockpit, they can be implemented or configured using the “Time compression” ele­ment or the activity bar chart element.

  • Leads by classifications in the BY – as bars with a filter as the basis
  • Leads by source in BY – as stacked bars with a filter as the basis

The Conversion Rate cockpit element 

With JustRelate CRM, the conversion rate is a measure for the effectiveness of converting lead requests into sales or service cases, and thus is a key figure for lead management. The element calculates the ratio between the number of successfully processed lead requests to their total number.

Functions

For further processing, functions are available in the function bar.

Creating follow-up, sales, and service activities

The “For contact” from the request (or its company, if it is a person) is transferred as a customer into the case, and the request is linked to the process.

Including “request senders” in marketing processes or mailing lists

The “For contact” is added to the external contact list, and the request is linked to the case.

Setting the main status

“Special status” for the main status query for completed follow-up activities of a request.
