Structural units of your own company

You can create further units via the My company form and its Contact relations tab (Additional data). Using the Select departments command, you cannot only select available units, but also create new ones, automatically accepting the attributes of a superordinate unit.

Creating further internal units and relations in the ... / Internal departments form produces a direct relation between them. The organization hierarchy in the CRM is always structured from top to bot­tom. The header form always refers to the mother company or the superior department, the Contact relations tab to the subordinate department. You can use the Contact relations tab to create a relation between the superordinate department in the header form and the subdivision in the tab. Proceed as follows to create structures:

  1. In the form of your company or of a unit, open the Contact relations tab under Additional data.
  2. Click the Select departments button.
  3. Create relations between existing units, or create new units as a structure (New contact) here.
  4. Proceed in the same way to create deeper structures further down.
  5. Access groups that adopt the structure are automatically created as the structu­res are being created.
  6. Specify in the Leader field an internal staff member who has a view of the Entry Portal of his staff members on the same level.
  7. Save the work!

Note: Specifying a leader for the view of the staff members of the same level is an additional option that can be used additionally if the leader is not a member of the directly superordinate department. The hierarchical view should be represented in the corporate structure and the staff member assignments.

In the Contact relations of the form for every subordinate contact, you can always see their directly superordinate organization unit.

Vewing options (View)

Directly associated shows all units directly associated with the company.

In departments also displays the subdivisions of units.

Deleting units from the structure relation

This procedure only deletes the relation of the company in the structure, not the company itself.

Note: Please note that you always need to open the superordinate company if you want to delete subordi­nate structures.

  1. In the form of the unit concerned, open the Contact relations tab (Additional data).
  2. Open the Select units.... selection dialog. The subordinate contacts are preset in the list to the right.
  3. In this list, select the units to be deleted.
  4. Press the Remove.button.
  5. Close the selection dialog.

Deleting units with structures

If you need to delete the master records of structured units, simply open the unit concerned from the structure tree via the hyperlink, and use the Delete standard command.

Attention

Attention: If you use the standard Delete function for company records with a structure, you will be asked whether the record including its entire structure should be deleted.

Replying YES causes all subordinate companies to be deleted as well! The persons are preserved as contacts.

If you reply with NO, the structure information of the subordinate companies is resolved upwards. If subordinate companies lose the relation with their directly superordinate organization unit (if, for example, the mother company is deleted), they always move to the top level. They lose all their higher levels, but not their own subordinate structures. If these units should be integrated into a structure, they need to be reassigned.
