Process status tab

By marking a status in the status tree, you activate the Process status tab and can adjust all statuses that are used in this process. You can create a new status using the Status (new) function.

Process statuses indicate the progress of a process. You can specify which status triggers the open or closed status of a pro­cess. In conjunction with this, Access to a record is controlled when a particular status is set.

For process statuses, you can set a Main status that summarizes several process statuses and is presented as an element in the sales funnel or in the evaluation (report) of Requests.

The main status is furthermore used for the graphical presentation of the process. By assigning the main status to the processes “opportunity”, “quote”, “marketing process” or “service process”, progress icons are displayed in the case forms to the left of the status bar.

Process management fields

Status

This is the title of the process status.

Identifier

Based on the class, the Identifiers are maintained that start with the class name and are complemented with one or several three-character tokens that should be unique.

Position

The position where the status can be found in the status selection window at the process. Additionally, the position of the process status determines which main status is the initial one per position. This affects the status-related visualization of the process bars for cases. See also below: Main status.

Source status

Within a sales procedure, several cases are processed that are managed as process statuses and appear in the Status field of the corresponding dialog object (form). The sequence of the process statuses can be influenced through predefined Preceding states. If the sta­tus changes, those processes are offered as choices that:

  • have the current process status as their preceding status, or
  • have no preceding status.

Other statuses are not offered in this process status. A source status can be found particularly in Quotes.

Procedure lock, process course and preceding status

Main status

The main status is used for the sales funnel, and to manage sales requests. With cases, it also serves process visualization using progress icons.

Suptype

You can assign subtypes to a status. This way, the status only is available in pro­cesses of this subtype.

Functions and function classes for checks and actions

Activities and process states can have functions or Function classes for checks and actions that trigger auto-functions on status changes. For example, when the status changes to Quote won, the planned final date of the quote is changed to the current system date. These and similar functions will be offered step by step for processes in the CRM.

For the service, e.g., the pisa.psa.dto.psa_oth.PsaSta.creEma function for automatically cre­ating an email when a status changes, or the de.pisa.psa.dto.psa_oth.PsaSta.chkNnl(PscDto, Integer, String, String) check function can be used.

The check function only checks that all given fields are filled out on a status change. After the sta­tus changed, the fields can be cleared again.

Edit check or action function

If so-called user exits are used in the Function class field of a process definition, the user exit code can be modified using the Edit check function or Edit action function functions. This only works if you select a user exit from the field selection menu in the Function class field.

Access and Context

The presentation of the state of a record depending on the status can be controlled by means of a template. Records with the corresponding status are formatted using the specified template definition.

Maturity and Done

This marks the status of a process as open or closed in the Done field. OPN = open, DON = closed (red) with a percentage indicating the success probability of (sales) processes via the pro­cess status.

Dialog name, modal dialog

With JustRelate CRM, relations are mostly created through system-wide selection dialogs (modal dialogs). The entries in these fields are evaluated when relations are being created, and should not be modified. Only when new contact categories are created, the identifier must be specified.
