Assigning resources in the team calendar

Technical resources are handled as contacts in the Team calendar and can be displayed there. You can assign appointments to these resources if the resource has the Create or Modify calendar release.

You can assign such a resource to an appointment at the staff mem­ber by dragging and dropping it on the row of the resource. If the resource is assigned, the appointment appears as a utilization bar in the row of the resource.

Alternatively, the resource can be assigned directly at the appointment in the Participants tab.

Note: Assigning resources via drag and drop may not be possible, depending on the CRM version you are using. A resource must be released for the calendar as "Create" or "Modify". Otherwise, it cannot be assigned here via drag and drop.

If you change the date of an appointment, e.g. by moving it in the Team calendar, the assigned resources will always move with it.

Visibility of appointments subject to release

In the Team calendar, appointments, whether subject to release or not, are always visible. In the Entry portal, however, you can see these appointments only after they have been released (service resource planning).

Admin: In the Activities/Release level administration list, there is an additional flag, "Visibil­ity", that controls whether an activity is visible in the Entry Portal, and whether it is covered by synchro­nization functions and jobs. Thus, a service technician can be informed not only about finally released appointments but also about appointments requiring a status prior to their release (e.g. Resources assigned). The service technician can then schedule such appointments themselves.

Attention

Attention: Basically, you can associate resources to plannable appointments here (subject to release, like service actions). However, the further handling and release of appointments subject to release in gen­eral takes place in the service management or in the service resource planning.

Resources in a private appointment

If a resource is assigned to a private appointment, this appointment is visible in the activity list of the resource as a "private appointment". Neither the agent responsible for resources nor other users are able to see details of the private appointment.

Note: In the form of the internal staff member, you can find the Resources subform. Here, only the resources for which the internal staff member is the responsible agent are displayed.
