Notes on page numbering for serial letters

If you use a MS Word mail merge template and uncheck  "Single report" to obtain a continu­ous complete document, Word will display the total number of pages, but not the number of pages per recipient.

The numbering is controlled exclusively by Word field functions. The following Word knowledge or mea­sures are required to change the sample templates:

  1. In a Word mail merge, a new section with a page break is created for each recipient. When the next section is created, Word copies the headers and footers of the first section to it. It is therefore required to edit the "master" footers in your template. Double-click on the header or footer you want to edit to enter editing mode. In our sample tem­plates, there is a header and footer for page 1, and a header and footer for the pages that follow. This is because the checkmark in the "Draft - First page different" ribbon is set.
  2. The {PAGE} field function is used to display the current page. Via the "Draft - Page number - Format page numbers ..." ribbon, you can choose to start again with 1 in each section. This is already the case in our sample templates.
  3. The {NUMPAGES} field function is used to display the total number of pages in the document. This is the case in our sample templates, but is not desired.
  4. The {SECTIONPAGES} field function is used to display the total number of pages of a section. Replace {NUMPAGES} with {SECTIONPAGES}.
  5. Press the function key (F9) to create the field brackets.
  6. Press ALT-F9 to switch between the display of the field function and the function result.
  7. To recalculate the function result, press F9.

Assuming a letter has two pages, and there are two recipients, the page numbering will look like this: Page 1 of 2, Page 2 of 2, Page 1 of 2, Page 2 of 2.

Attention

Attention: We have set the default for form letters so as to generate (and print) a separate document for each recipient. We advise against removing the "Single report" flag from mail merge templates
as placing all recipients in one document may cause it to become very large, especially if it contains images. As a result, storage space problems may occur on the Microsoft side, which we cannot resolve.
